How do you handle your forum’s welcome process?

Midnight Gremlin · 1 week ago · 11 replies · 203

When a new user registers on a forum, those first few minutes usually decide whether they stick around or never log back in.

There are completely different philosophies on how to handle that initial onboarding. Some forums set up detailed automated welcome emails with links to key threads and guidelines. Others use a dedicated "Introduce Yourself" board and push new members to post there first. Then there are webmasters who prefer manual, personal messages sent directly from staff to make newcomers feel noticed right away.

At the same time, a lot of communities barely do anything at all, preferring to let new users lurk or dive straight into discussions without any formal introduction.

I want to know how everyone here manages that first impression.

We've got an introduction forum. I hate welcome PMs and emails and have barely used either on any of my forums. It just comes across too automated.

I, too, prefer introduction forums for a humanly welcome to newly registered users.

I have an intro forum and a welcome PM although I have just had to update it as a lot of features changed. Downside of automated PMs & E-mails is that stuff changes all the time.

I remember when I was operations admin at Bizdustry I had to make sure everything like this was updated.

If I were to own a forum, then I would welcome my members by sending them a welcome note in a PM. This is quite crucial due to the fact that personally sending a welcome note would really give a good impression. I would then ask them to introduce themselves in the introduction section.

Onboarding IMO is what makes or breaks a forum.

We forum owners aren’t that good at it. Automated DMs and welcome topics aren’t that effective for those who turn into lurkers.

What we should do is send them a real DM and establish a relationship with them enough that they keep coming back to continue their friendship with us.

Keep records of their needs, wants, and other details, and network them with similar members.

I used to do that when I was the Community Manager of Copyblogger, but I also got paid to do that.

I send an automated welcome message to all new users with two links: one to the forum rules and another to the New Members forum, where I encourage them to introduce themselves to the community.

I think that this is a great move. I would also send them with these links. However, I believe that forums introductions should also have a link to privacy policy as well. This will make things much easier and great for members who will join the forum. Apart from that, this will also encourage people to put more trust on the forum. I would also include a great template into the email message and send a great email message as well.

Honestly, how many people actually sit down and read a full privacy policy? Very few! Still, having that link clearly visible is huge for legitimacy and legal protection. Even if 99% of members skip it, just knowing it’s accessible builds instant trust and shows the forum takes user data seriously.

Welcoming new members is one of the most important things for forum owners because first impressions last longer. That can determine if they will stay or leave.

I don't like a complicated onboarding process . There was a forum I spent days trying to set up an account. It keeps giving me difficult challenges and I couldn't pass through that stage.
